The new Reporting screen, which is currently in beta, will eventually replace the legacy Reporting screen and will include a host of new and improved reports. The features and reports in this new screen will be rolled out in stages over several consecutive releases.

This quick report includes a list of users and their current completion status for the selected learning plan. This report includes users that are specifically assigned to the learning plan, as well as any non-assigned users that have already completed it. This report is extremely useful if you want to quickly check the progress of assigned users or provide proof that users have completed a learning plan for compliance purposes.

When using this report, take note of the following:

  • A user appears in this report as soon they are given an availability date/assigned to the learning plan.

  • If a user has been assigned to the selected learning plan at any point, their progress/completion is listed in this report.

  • If a learning plan is unassigned from a community and then assigned to an audience, the audience members are returned in the report. For example, if a learning plan is assigned to a community with 100 community members, and it is re-assigned to an audience with only 50 of those community members in it, the report will still include all 100 of the users in the report. You can identify how each user has been assigned using the Assignment status column. 

  • Users who have previously completed the selected learning plan, but are now deactivated are still listed in this report.

  • Users who have completed the learning plan and no longer members of the community are still listed in this report.

  • The list below does not include any custom profile fields that may be included in the report that are specific to your organisation. For example, your organisation may have custom fields such as Location, Department, or Job Title that are included in this report.

LP Assignment type

How the user was assigned to the learning plan.

The following status are applicable:

  • Community: The user is a member of a community assigned to the learning plan.

  • Audience: The user is part of an audience assigned to the learning plan.

  • User: The user was specifically assigned to the learning plan.

  • Not assigned: The user has not been assigned to the learning plan.

Notes:

  • If the learning plan was assigned to the user individually, the date of assignment is displayed.

  • If the learning plan was assigned by audience and the user is already a member of the audience and community, the date the audience was assigned is displayed.

  • If the learning plan was assigned to the whole community and the user is already a member of the community, the assignment date is displayed.

  • If the learning plan was assigned to the whole community and the user is added to the community afterwards, the date the user was added to the community and the date shown in the Availability date column should match.

User

Assignment status

Whether or not the user has been assigned to the learning plan.

The following status are applicable:

  • TRUE: The user was specifically assigned to the learning plan as an individual user, or assigned through being part of a community or audience.

  • FALSE: The user was not assigned to the learning plan, even if they have accessed and taken it.

User learning status

The user’s learning plan progress.

The available statuses are:

  • Not started: The learning plan is assigned to the user or is available to them, but they have not yet completed any of the items within the learning plan.

  • In progress: The user has only completed some of the items in the learning plan.

  • Completed: The user has completed all items in the learning plan. 

If items of content are added to the learning plan after the user has completed it, the user’s status remains “completed” in the report.

Completed

Availability date

The date and time the learning plan became available to the user. 

The Availability date column will be blank if:

  • A user has completed the learning plan but was never a member of the community where the learning plan exists.

  • A user has previously completed the content in the learning plan as standalone items, but was never actually given access to the learning plan that those items now appear in. For example, the user may have completed each individual item of content prior to it being added to the learning plan.

Start date

The date and time the user started the learning plan.

Progress score

The user's progress score for the learning plan. This is defined by the number of completed items divided by the number of available items in the learning plan.

Deadline status

The deadline for the user.

The following statuses can be shown:

  • N/A: If the learning plan has an expiry after the first completion, users will be marked as N/A once the first reset has occurred.

  • Disabled: The deadline has not been enabled for the learning plan in the Expiry tab.

  • In progress: The deadline has been enabled for the learning plan in the Expiry tab, but the deadline date is still in the future.

  • Missed: The deadline has been enabled for the learning plan in the Expiry tab, but the user has not completed the learning plan on the day of the deadline date.

  • Completed: A deadline has been for the learning plan in the Expiry tab, and the user has completed the learning plan on the day of the deadline date.

The date the learning plan deadline has been set up for the user.

The expiry date of the learning plan.

Expiry status

The following expiry statuses can be shown:

  • N/A: This status is shown if the learning plan has the expiry settings turned on but the user has yet to complete the learning plan for the very first time. Once the user completes the learning plan for the first time, an expiry will be determined, and the expiry status will be shown here. 

  • disabled: The learning plan has not been set to expire, and the user won’t be required to retake the learning plan again.

  • upcoming deadline: The learning plan reset date is in the past and the expiry date is in the future and the user is currently incomplete.

  • completed: The user has completed the learning plan and both the reset and expiry date are due in the future.

  • overdue: The user has failed to completed the learning plan before it expired.
