My team

The My team screen, on the side navigation, gives managers an overview of the progress their reportees have made on learning plans they’ve specifically been assigned, such as mandatory learning plans with deadlines or recurrent learning plans assigned for compliance purposes, as well as optional ones without deadlines and expiries, that have been made available to them to take at any time.

Examples

  • The My team screen can be thought of as a helpful checklist for managers. Not only does it show each reportee’s progress, but also gives a clear indication of which reportees have not completed their required learning on time. For example, you might be the manager of a large department with lots of reportees, and your reportees may be required to complete essential health and safety learning plans to do their job properly. The My team screen helps you quickly identify which reportees have fallen behind by not completing their assigned learning on time, after which you can either speak with them in-person or send them a direct reminder notification to make them aware.

  • You might see an optional learning plan in the Not started category that has been made available to your a reportee that you think might be useful for them to take, so you might decide to send them a notification message to make them aware of it.

Status categories

A reportee appears in this category if they’ve missed the deadline for the assigned learning plan because the have started and then failed to complete it, or the’ve not started it at all by the time the deadline has passed. You can see how many days the reportee is overdue and how much progress, if any, they have made on the learning plan.

Upcoming deadline

A reportee appears in this category if the deadline for the learning plan is approaching. The user must complete the learning plan before the deadline elapses, otherwise they’ll become overdue and will be moved into the Overdue category. The deadline date is shown on the card.

In progress

A reportee appears in this category when they have started a learning plan but they have not yet completed all the items of content in it. You can see how much progress a reportee has made as a percentage on the card.

Examples:

  • It could be an optional learning plan that is available for the reportee to take, which does not have a hard deadline, in which case the reportee will simply remain in this category until they complete it.

  • It could be a mandatory learning plan with a deadline, which means that if the reportee has not completed it by the time the deadline approaches, they will be moved into the Upcoming deadline category.

A reportee appears in this category when they have completed a learning plan.

Not started

A reportee appears in this category when they have not yet started a learning plan.

This might be:

  • An optional learning plan that is available for the reportee. In this case, a manager might see an optional but useful learning plan that is available to a repartee, and then notify them about it with a message so that they become aware of it.

  • A mandatory or recurring learning plan with a hard deadline that the reportee must start before the deadline elapses.

 

Notifying reportees

You can send notifications to reportees on the My Team screen.

You can notify:

  • One particular reportee

  • A whole list of reportees - such as those in Upcoming deadlines, Completed, In Progress, and Overdue or Not started categories

Examples

  • You might send a notification to all reportees in the Upcoming deadlines category to remind them they have a deadline fast approaching.

  • You might send a notification to a reportee to recommend an optional learning plan that is available to them that they might like to take or might be useful for them. For example, you send a notification to a reportee about a particular learning plan in the Not Started category, with a message suggesting that they take it.

Notifying an individual reportee

You can send a reminder notification to one particular reportee in the list.

To send a notification to an individual reportee:

  1. Click the bell icon next to the reportee’s name.

  2. Enter a message to accompany the notification. For example, if the reportee is overdue, you might enter the following: “The deadline for this learning plan is approaching. The completion of this learning plan is essential for compliance purposes. Please complete this learning plan as soon as possible”.

  3. Click Send.

    The reportee receives the notification.

Notifying multiple reportees

You might send a reminder notification to reportees who are in the Overdue, In progress, Upcoming deadlines, or Not started category all at once. For example, you might send a reminder or warning message to all reportees that are currently overdue, to ensure they complete their assigned learning as soon as possible.

To send a notification to multiple reportees:

  1. Go to the desired status category and expand it. For example, Upcoming deadline.

  2. Click the bell icon next to the category name.

  3. Enter a message to accompany the notification that will be sent to all reportees in the category. In this case, the message is to all reportees with an upcoming deadline. For example, you might enter the following: “You have an upcoming deadline for this learning plan. Please ensure you complete it before the deadline, as this is essential for compliance purposes“.

  4. Click Send.
    All reportees in that particular category will receive the notification and the accompanying message. In this particular example, all your reportees with upcoming deadlines for learning plans they’ve been assigned will receive it. If a reportee has multiple learning plans in a category, in this case the Upcoming deadlines category, they will receive multiple notifications. For example, if the reportee has 2 learning plans with upcoming deadlines, they will receive 2 notifications.

 Filtering the My team screen

If you have a large number of reportees, you can filter the My team screen to make it easier to manage.
 You can:

  • Filter by reportee so that you only see the progress of one or more specific reportees:

  • Filter by one or more specific learning plans to see the progress of reportees that are assigned to those learning plans:
